What You’ll Do

Client Billing & Invoicing

• Review executed client SOWs for billing terms, rates, and payment schedules
• Set up new clients and projects in QuickBooks
• Prepare and submit invoices through client portals and QuickBooks
• Track invoicing status and follow up on outstanding payments

Vendor Onboarding & Payments

• Send vendor onboarding communications, collect W-9s and contracts
• Review vendor invoices against approved contract terms before processing
• Initiate payments, coordinate approvals, issue Ramp cards when needed

Full-Cycle Bookkeeping

• Record transactions and maintain accurate books in QuickBooks
• Reconcile all balance sheet accounts monthly
• Sync expenses from Ramp to QuickBooks
• Maintain organized financial documentation

Payroll & Benefits

• Coordinate payroll through our PEO — new hires, bonuses, reimbursements
• Submit and update 401(k) contributions
• Ensure deductions align with benefit elections

Expense & Reimbursement Management

• Review employee expense submissions against company policy
• Process reimbursements through payroll or other systems

Financial Reporting

• Update and maintain internal financial dashboards
• Prepare P&L, balance sheet, and cash flow reporting
• Track revenue-in-progress based on closed SOWs and pipeline

Tax Compliance & Year-End

• Prepare 1099 filings from vendor payment records
• Prepare financial summaries for year-end tax filing
• Coordinate with CPA for tax preparation and federal filing

What We’re Looking For

• Strong understanding of accrual accounting and monthly close processes
• Proficiency in QuickBooks
• Experience with expense management tools (Ramp or similar)
• Familiarity with PEO payroll systems
• Ability to operate independently with minimal oversight
• Experience in professional services or consulting environments preferred
• Accounting degree, CPA, or equivalent experience strongly preferred
